Operations copilot for owner-run SMBs
A small operations-heavy business replaced the owner's coordination workload with an AI copilot wired into email, calendar, inventory and invoicing.
Owner coordination load

Duration
8 weeks
Team
3 people
Challenge
The owner spent most of the week routing messages, fixing schedules, chasing invoices and reconciling inventory across spreadsheets — growth stalled because every decision passed through one person.
Solution
We mapped the recurring coordination loops, connected the existing stack (Gmail, Google Calendar, Sheets, Stripe, QuickBooks) through a lightweight AI copilot, and left judgment calls with the owner while delegating the repeatable handoffs.
Outcome
The owner reclaimed roughly two days a week, ops decisions became traceable, and the business scaled its order volume without adding a COO or ops manager.
What was happening
Every scheduling change, stock alert and customer reply flowed through the owner's inbox. Spreadsheets held the real state of the business — invoices, inventory, margins — and only the owner knew how to reconcile them.
Hiring a COO was not on the table. A full ERP rollout was not either — too slow, too expensive, too rigid for how this business actually worked.
What changed
We kept the existing tools and wrapped them in an AI operations layer. The copilot reads the inbox, drafts replies, flags scheduling conflicts, watches inventory thresholds and prepares invoice batches — always surfacing a proposal before acting.
The owner stayed in the decision loop for anything involving price, people or promises. The mechanical parts of operations stopped touching human attention.
